Internal Database System Administration Officer

Job Overview:

We are currently seeking a highly skilled and detail-oriented individual to join our Internal Database department as a System Administration Officer. Reporting directly to the Manager – Technology Administration, the successful candidate will play a pivotal role in administering the Internal Database on a day-to-day basis, enhancing existing functionalities, and contributing to process improvement initiatives. The role involves extensive interaction with various departments, requiring proficiency in MS Office applications, particularly Excel and Access.

Key Responsibilities:

  • Internal Database administration:
    • Perform daily data maintenance, control, and monitoring of the internal database.
    • Ensure the accuracy and integrity of client, policy, provider, and product records within the internal database.
  • Functionality Development:
    • Collaborate with stakeholders to scope, test, and implement new functionalities within the internal database.
    • Provide training and support for end-users on existing and newly implemented features.
  • Process Improvement:
    • Identify opportunities for automation and system updates to enhance overall efficiency.
    • Contribute to continuous improvement initiatives to streamline business processes.
  • Business MIS/Adhoc Reporting:
    • Generate and deliver regular business MIS reports using data from the internal database.
    • Respond to ad-hoc reporting requests, providing meaningful insights to support decision-making.

Main Database related Functionalities:

  • Business Administration:
    • Manage client, policy, provider, and product records within the internal database.
    • Oversee the end-to-end processing of new business and servicing applications.
    • Conduct compliance monitoring activities.
    • Coordinate email communications to clients at various stages of the business lifecycle.
  • Agency Support:
    • Maintain the database for agent records and sales team structures.
    • Administer remuneration schemes for agents.
    • Manage policy portfolio transfers and product authorizations.
  • Finance:
  • Record and maintain provider and consultant commission rates.
  • Calculate commissions to be received and paid.
  • Reconcile expected commission against received amounts.
  • Generate agent commission statements and maintain historical payment records.
  • Management Information System (MIS):
  • Extract data from internal database for regular reports, using the Report Manager satellite system.
  • Contribute to the generation of marketing and management information for the business.

Qualifications and Skills:

  • Proficiency in MS Office applications, especially Excel and Access.
  • Strong analytical and problem-solving skills.
  • Experience in database administration and CRM management.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively in a team and adapt to a dynamic work environment.
